Position Summary

U.S. Sugar is seeking a motivated and detail-oriented Operations Systems Coordinator. The Operations Systems Coordinator is responsible for maintaining and supporting key operational systems related to cane inventory, planting, harvest activities, grower services, land leases, purchasing, and reporting. This position works closely with growers, farm operations, accounting, and administrative teams to ensure accurate data management, timely communication, and smooth coordination of seasonal activities.

 

Cane Inventory and Crop Setup

 

  • Add new admin farms, production zones, growers, and related field information
  • Update crop inventory field lists for each new crop year, including adding, deleting, splitting, seed acres or combining fields
  • Prepare and distribute upcoming crop estimates to growers, including completed fields and prior year estimates; as changes are received update new crop records as needed, upload into cane inventory and return updated final estimate to growers
  • Maintain abandonment records and field changes throughout the crop year
  • Support research field setup, including splitting test fields
  • Create new fields if needed; Create SAP templates with new field information to be uploaded and add measuring points cane inventory
  • Compare SAP reports to cane inventory records to ensure field, harvest, and measuring point accuracy

Plant Season Support

 

  • Modify plant template information received for admin farms and growers to upload into plant database
  • Enter planting information for growers and update admin fields as information is received
  • Review admin farm planting information throughout the plant season for missing details such as plant details, Kleentek codes, and other required data
  • Compare plant reports to abandonment report and research discrepancies – such as acreage changes, fields not planted, changes to abandonment

 

Harvest Coordination

 

  • Review and correct Rails reporting errors, including missing scales, unattached loads, missing cars, average weights, sample issues, and zero-ton entries
  • Monitor field closures by confirming all harvest cars are reflected in the rail system
  • Close fields in cane inventory systems once harvest data is complete
  • Run reports for other mills and close fields as needed
  • Compare weekly tonnage totals between Rails systems, cane inventory, and SAP
  • Research and resolve discrepancies in reported tons

End-of-Crop Administration

 

  • Review and adjust trash factors when needed
  • Prepare grower seed invoices or spreadsheets for tonnage swaps
  • Notify growers, outside harvest crews, and accounting teams of swapped tons and related information

Grower Services

 

  • Prepare and send grower correspondence through email and mail
  • Create and distribute invoices to growers
  • Assist growers with statements, reports, meetings, and general support requests

Land Lease Administration

 

  • Enter land lease information into company databases
  • Prepare and mail lease contracts and invoices to lessees

Purchasing and Vendor Support

 

  • Create and receive purchase requisitions and purchase orders
  • Set up new vendors and customers in company systems
  • Prepare check requests for one-time vendors

Additional Responsibilities

 

  • Update annual cultivation map order lists
  • Coordinate with vendors for printing and distribution of cultivation maps
  • Maintain accurate records and support reporting needs across departments
  • Assist with special projects and other operational support activities as assigned

Qualifications

 

  • Strong organizational and administrative skills
  • Experience working with data entry, reporting, and inventory systems
  • Ability to manage multiple projects and deadlines during peak seasons
  • Strong attention to detail and problem-solving skills
  • Proficiency in Microsoft Office, especially Excel
  • Experience with SAP preferred
  • Strong communication skills and ability to work with growers, vendors, and internal departments

Working Conditions:

 

  • While performing the duties of this job, the employee works in an office environment on a regular basis.
  • May be required to work outside when assisting and supporting farm functions as it pertains to the position.
  • May require travel in between areas.
  • Working conditions may be rainy, hot, humid, dusty, etc. depending on the weather
  • The noise level in the work environment is usually moderate to loud 
  • Extended hours may be required during peak planting and harvest seasons.

 

Physical Requirements:

 

  • While performing the duties of this job, the employee is regularly required to sit
  • The employee is required to stand, walk, use hands to handle and/or move various objects, tools and/or controls, reach with hands and arms, climb or balance, talk, hear, and see
  • Specific vision abilities required by this job include distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus 
  • Ability to freely access all areas, including farm offices, tractor sheds, various farm/harvesting equipment, etc.
  • Ability to move or handle various items throughout the farm generally weighing between 0-65 pounds.  Ability to lift and carry up to 65 pounds.
