Job Description: Farm Coordinator

Position Summary
U.S. Sugar is seeking a motivated and detail-oriented Farm Coordinator. The Farm Coordinator is typically assigned to a specific farm area but may support multiple locations and reports to the Area Manager. This role provides administrative support to farming operations by ensuring accurate data entry, reporting, and coordination across payroll, production, maintenance, and inventory systems while supporting day-to-day farm operations and overall productivity.
Key Responsibilities
- Create and manage production and maintenance orders, ensuring accurate entry of labor hours, equipment hours, materials, contractor services, and field/equipment details
- Enter and maintain data in SAP and other systems, including production data, field data, equipment hours, and measurement points
- Create purchase requisitions, receive invoices, and support inventory management for chemicals, fertilizer, fuel, and PPE
- Accurately collect and process payroll/timekeeping data, including hours worked, overtime, benefit usage, and absences
- Maintain reports related to overtime, specialty pay, and other payroll tracking; prepare and track vacation schedules
- Process HR-related paperwork (pay changes, employee records, separations) in a timely manner
- Prepare and maintain operational reports such as planting, pesticide usage, pump activity, burn reports, vehicle mileage, and other farm tracking reports
- Support reconciliation, material tracking, and contractor service documentation
- Provide general administrative support including scheduling, filing, data entry, coordinating meetings, ordering supplies, and handling calls and correspondence
- Maintain employee files and ensure safety and environmental training documentation (WPS, CDL, respiratory, etc.) is current
- Support onboarding, assist with training of new employees, and help coordinate daily work schedules as needed
- Maintain job posting boards and assist with internal communication across the farm
- Promote strong communication and teamwork with Area Manager, team members, and other departments
- Assist in tracking productivity, supporting cost control efforts, and identifying process improvements
- Comply with all company policies, safety standards, and environmental regulations; attend departmental and safety meetings
- Perform other administrative or operational duties as assigned
Qualifications & Skills
- Experience in administrative support, payroll, or operations (typically 1–5 years)
- Strong computer skills, including Microsoft Office; SAP experience preferred
- Ability to manage multiple priorities with strong attention to detail and organization
- Effective communication skills, both written and verbal
- Ability to work independently, exercise good judgment, and solve problems as they arise
- Strong analytical skills with the ability to compile and interpret data and reports
- Ability to build and maintain effective working relationships across all levels
- Knowledge of general office procedures and systems
- Valid driver’s license required

- While performing the duties of this job, the employee works in an office environment on a regular basis.
- May be required to work outside when assisting and supporting farm functions as it pertains to the position.
- May require travel in between areas.
- Working conditions may be rainy, hot, humid, dusty, etc. depending on the weather
- The noise level in the work environment is usually moderate to loud
- Extended hours may be required during peak planting and harvest seasons.

- The employee is required to stand, walk, use hands to handle and/or move various objects, tools and/or controls, reach with hands and arms, climb or balance, talk, hear, and see
- Specific vision abilities required by this job include distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus
- Ability to freely access all areas, including farm offices, tractor sheds, various farm/harvesting equipment, etc.
- Ability to move or handle various items throughout the farm generally weighing between 0-65 pounds. Ability to lift and carry up to 65 pounds.
